Getting Started

What is BiiBuy? Customer

BiiBuy lets you buy from local merchants in advance at a discount, then redeem whenever you like.

You can buy a single item or a multi-item bundle. Either way it sits in your Wallet as a QR code. Show the code at the counter, the merchant scans it, and the item comes off your balance.

Example: a five-coffee bundle costs less than five coffees at full price. Redeem one coffee a day for five days.

Merchants sell food, drinks, haircuts, classes, treatments, dry cleaning and more.

How do I sign up? Customer

1. Tap Create an account on the login screen.
2. Enter your first name, last name, Australian mobile number, email and a password.
3. Tick I agree to the Terms & Conditions and Privacy Policy.
4. Tap Create Account.
5. Tap the confirmation link in the email from noreply@notify.biibuy.app. Check your spam folder if it has not arrived.

To use Google or Apple instead, tap Continue with Google or Continue with Apple, then enter your name and mobile number on the Almost there screen. There is no confirmation email.

What does it cost to use BiiBuy? Customer

Nothing. There is no membership, no subscription and no fee on your purchases. You pay the deal price and that is all.

How do I contact support? Everyone

Email support@biibuy.com.au.

If your question is about a purchase, include the Purchase ID. Open the bundle in your Wallet and it is on the card.

Do I need to download an app? Customer

No. BiiBuy runs in your phone's browser. An iOS and Android app is coming soon.

To add BiiBuy to your home screen:
1. Open the Account tab.
2. Under Add to Home Screen, tap Add Shortcut.
3. On Android, confirm the install prompt. On iPhone, BiiBuy shows the Safari steps.

The Safari steps are:
1. Tap the More button in the bottom right, then tap the share icon.
2. Tap View More, then tap Add to Home Screen.
3. Check Open as Web App is switched on, then tap Add.

Add to Home Screen only appears on a phone. On a computer, use BiiBuy in your browser.

Which areas is BiiBuy in? Customer

BiiBuy is available Australia wide. What you see depends on how many merchants have joined near you.

Near by sorts deals by distance. It does not hide anything. Tap Latest to sort by newest instead.

To find a specific business, search by name.

To request a merchant, email support@biibuy.com.au with the business name and suburb.

Finding Deals

How do I find deals near me? Customer

1. Open the Discover tab.
2. Tap the Near by chip above the deals.
3. Tap Allow when your browser asks for your location.

Deals show a distance badge like 1.2 km, and the closest ones move to the top.

Tap the map icon to switch to map view, which shows a pin for every merchant with a live deal. Tap a pin to see that merchant's deals.

More deals load as you scroll.

I tapped Near by and nothing happened Customer

That almost always means your browser blocked the location request, and on some browsers it happens silently.

On iPhone in Safari: go to Settings, then Apps, then Safari, then Location, and set it to Ask or Allow. Then also check Settings, Privacy and Security, Location Services is on.

On Android in Chrome: tap the padlock or the icon to the left of the address bar, tap Permissions, and turn Location on.

On a laptop: click the padlock icon in the address bar and allow Location.

After changing it, reload the page and tap Near by again. If you would rather not share your location at all, you can still browse everything — location only changes the ordering.

How do I search for a merchant or a deal? Customer

Use the search box at the top of the Discover tab. Type a business name, a deal name, or an item inside a bundle such as flat white or blow dry.

Results update as you type and match loosely, so a small typo is usually fine. Punctuation is ignored.

Search applies to the list view only. The map shows every merchant in view, not just your search results.

Can I filter by category and distance at the same time? Customer

Not right now. The chips above the deals are single-select, so you can pick Latest, or Near by, or one category like Food and Drinks — but only one at a time. Choosing a category clears Near by, and choosing Near by clears the category.

If you want the closest coffee, the quickest way today is to switch to map view and look at the pins around you.

What does the number of items available mean? Customer

It is the number of individual items the merchant has left, not the number of bundles.

So if a bundle is 5 coffees and the merchant has 10 items left, that is 2 bundles. The deal will say 10 available, and when you open it you will be able to buy up to 2. Some deals have unlimited stock and show no availability figure at all.

When a merchant runs out, the button changes to Sold Out.

Do I need an account to browse? Customer

No. You can browse every deal, open a merchant's page and see the full details without signing up. You only need an account when you want to buy — at that point we ask you to log in or create one, and then bring you straight back to the deal you were looking at.

How far away is the merchant really? Is that driving distance? Customer

No — the distance badge is a straight line from you to the merchant, so the real walking or driving distance will be a bit longer. Treat it as a rough guide for sorting rather than a travel time.

Tap a merchant to see its full address, and on the map view you can tap the address to copy it and paste it into your maps app for real directions.

Buying & Payment

How do I buy a deal? Customer

1. Tap the deal you want.
2. Tap Buy.
3. Choose how many bundles you want.
4. Pick your options, if the deal has any.
5. Enter your card details and pay.

The bundle appears in your Wallet with a QR code as soon as the payment goes through.

You collect nothing at the time of purchase. Turn up in store later and show the QR code.

You need to be logged in to buy. If you are not, we will ask you to sign in and bring you back to the deal.

What payment methods can I use? Customer

You can pay with a Visa, Mastercard or American Express card, or with Apple Pay, Google Pay or Stripe Link if your device supports them. Apple Pay and Google Pay appear as a button at the top of the payment screen when they are available on your phone.

All prices are in Australian dollars.

Does BiiBuy charge me a fee on top of the price? Customer

No. The price you see is the price you pay. There is no booking fee, service fee or surcharge added at checkout.

What is a bundle, and how do options like size or flavour work? Customer

A bundle is a set of items you buy in one go at a discount — for example five coffees for the price of four. You redeem them one at a time, so you do not have to use them all in one visit.

If the merchant offers choices, you make them at purchase time rather than at the counter. If there is one choice to make, you get plus and minus buttons and simply allocate your items — for example three flat whites and two long blacks out of a five-pack. If there is more than one choice to make, you get a separate card for each individual item with a dropdown for each choice, so item one can be a beef burger with a Coke while item two is chicken with a Fanta.

Every choice must be filled in before you can continue. Some options cost a bit extra, and that shows next to the option as something like +$0.50.

My payment was declined Customer

The message on screen comes directly from your bank, and it is usually one of these.

Card declined, or do not honour: your bank blocked it. This is common on a first purchase with a new merchant. Call your bank or try a different card.

Insufficient funds: not enough available balance, including any pending holds.

Incorrect security code or expiry: re-check the CVC on the back of the card and the expiry date.

Authentication failed: your bank asked you to approve the payment in your banking app and it did not complete. Try again and approve the prompt.

Nothing is charged when a payment is declined. If the same card keeps failing on every deal, email support@biibuy.com.au.

It says this deal is no longer available Customer

This means the merchant stopped offering the deal, or the deal reached its end date, between when you opened it and when you tried to pay. Nothing has been charged.

The deals list can be a few minutes behind, so this occasionally happens on a deal you were already looking at. Pull down to refresh the list and the deal will disappear if it has genuinely ended.

Anything you have already bought from that merchant is unaffected and stays in your Wallet — you can still redeem it.

I was charged but nothing appeared in my Wallet Customer

Wait about a minute and pull down to refresh the Wallet. We have a backup process that finishes the purchase even if your phone lost connection at the wrong moment, and it usually lands within seconds.

Do not pay again. If you tap pay a second time on the same order you may see a confusing technical error, but you will not be charged twice.

If the bundle still is not there after a few minutes, email support@biibuy.com.au with the date, the merchant name and the amount, and we will find the payment and release it.

Where is my receipt? Customer

Your Wallet is your record of every purchase.

1. Open the Wallet tab.
2. Find the bundle.

The card shows the date you bought it, the amount you paid, how many items you have used, and a Purchase ID.

Include that Purchase ID if you contact support about a purchase.

For expenses, a screenshot of the Wallet card has everything on it.

What will the charge look like on my bank statement? Customer

It will normally show the merchant's name rather than BiiBuy, shortened to fit your bank's character limit. So a purchase from Corner Lane Coffee might appear as CORNERLANECOFFEE.

In a small number of cases — usually a merchant that has just joined and has not finished setting up their payouts — the charge shows against BiiBuy instead. Either way it is the same purchase and it will be in your Wallet.

If you see a charge you do not recognise, check your Wallet first. Every purchase there shows a Purchase ID, which is what our support team needs to look it up.

How many can I buy at once? Customer

Each merchant sets its own limit per order, and most set it at around ten bundles. The plus button stops when you reach the limit, or when you reach the number the merchant actually has left, whichever comes first.

If you want more than the limit, you can place a second order.

It says the merchant is not accepting new purchases Customer

The merchant has paused new sales, or their BiiBuy account is winding down. You cannot buy anything new from them at the moment.

Importantly, anything you have already bought is still valid. It stays in your Wallet and the merchant can still scan it — merchants who wind down keep the ability to honour bundles people already paid for.

If you are holding items from that merchant and you are having trouble redeeming them, email support@biibuy.com.au with your Purchase ID.

I paid but the last one sold out Customer

If someone else bought the last bundle in the seconds while you were paying, we refund you automatically and you will see a message telling you so.

If the automatic refund could not be completed, the message will include a reference starting with pi_ and our team is notified straight away. Take a screenshot of that reference and email it to support@biibuy.com.au — we will get on to it as soon as we can.

Can I cancel a purchase right after buying it? Customer

There is no self-service cancel button. Once a purchase completes, the bundle is in your Wallet and the money has gone to the merchant.

If you bought by mistake, email support@biibuy.com.au straight away with your Purchase ID. We can refund purchases up to 120 days old, and the amount is based on the items you have not yet used — so contact us before you redeem anything.

Can I use an overseas card? Customer

Yes. You will be charged exactly the same Australian dollar amount — we do not add anything for an international card.

Your own bank may add its own foreign transaction or currency conversion fee, which is outside our control and will show separately on your statement.

I changed the quantity and my selections disappeared Customer

That is expected. Changing how many bundles you are buying changes how many items you need to choose for, so the choices reset and you pick them again. You will see a message saying selections cleared.

To avoid it, settle on the quantity first, then make your choices.

Do paid extras get the discount too? Customer

Yes. If you add an option that costs extra, the discount applies to it as well as to the base price. So on a deal that is 15 percent off, a 50 cent oat milk upgrade actually adds about 43 cents.

The breakdown on the screen before you pay shows each extra, then the discount, then the final total — so you can always check the number before you enter your card.

Why does it say too many requests? Customer

If several payment attempts fail in a row, we pause further attempts for a short time. This protects your card against fraud. Wait a minute and try once more.

Your Wallet

Where do I find what I have bought? Customer

Open the Wallet tab.

Active — bundles you still have items left on.
Used — bundles you have finished.

A bundle moves to Used automatically when you redeem the last item.

Tap any bundle to open it and see its QR code.

What do the numbers on my bundle mean? Customer

On the Wallet card, the number counts what you have used. So on a five-pack where you have had three coffees, the card shows 3 of 5.

On the QR screen, the number counts what you have left. The same five-pack shows 2 of 5 there.

So if the two screens look like they disagree, they do not — one is counting used and the other is counting remaining.

Do my bundles expire? Customer

The expiry date shown on a deal in the Discover feed is the last day you can BUY it. It is not a deadline to use it.

Once you have bought a bundle it stays in your Wallet with no deadline, unless the merchant sets one.

If a merchant does set a deadline, your Wallet card shows it:

Redeem by 30 September — a use-by date.
Redeemable weekdays 11:00am to 2:00pm — set days or hours.

If your card shows neither line, there is no deadline.

My bundle says it can only be redeemed on certain days or times Customer

Some merchants limit a deal to a particular window — a weekday lunch special, for example. When that applies, your Wallet card shows the exact window.

Two things to know. The times are the merchant's local time, not your phone's — so if you are interstate, use the merchant's clock. And the end time is the cut-off, not a grace period: an 11:00am to 2:00pm window means the last redemption goes through at 1:59pm.

If you turn up outside the window the merchant's scanner will refuse it. Come back inside the window and it will work normally.

Can I use my items across more than one visit? Customer

Yes, that is the point of a bundle. A five-coffee bundle is five separate visits if you want it to be — you redeem one item at a time and the rest stay in your Wallet.

You can also redeem several at once if you are buying for the table. On the redeem screen just select more than one item before you show the QR code.

The merchant name on my bundle says Unknown Merchant Customer

That usually means the merchant has paused their BiiBuy account or their subscription has lapsed, so their details are no longer being published.

Your items are not lost. The bundle is still yours and the merchant can still scan it if they are trading. If you cannot get it redeemed, email support@biibuy.com.au with the Purchase ID from the card and we will sort it out.

Can I share a bundle with a friend, or give it as a gift? Customer

No. There is no transfer or gifting feature. A bundle belongs to the account that bought it.

You can show your QR code while a friend collects, since the merchant scans the code rather than checking ID. The purchase stays on your account and the items come out of your balance.

A screenshot of your QR code keeps working until the items are used, so anyone who has it can redeem them.

How do I see what I have already redeemed? Customer

1. Open the bundle in your Wallet.
2. Tap View Redemption History.

It lists every redemption with the date, and for bundles with options it shows which items you took.

Cancelled and expired Order Ahead orders appear in red, showing the items were returned to your wallet.

Can I rate a deal? Customer

Yes. After you redeem, a Rate this package option appears on the success screen. You can also rate from the Wallet card or the redemption history at any time once you have redeemed at least one item.

You can change your rating whenever you like — just tap the stars again.

Redeeming In Store

How do I redeem in store? Customer

1. Open the Wallet tab.
2. Tap the bundle.
3. Tap Redeem Item.
4. Choose which items you want this visit.
5. Show the QR code to the staff member.

They scan it and you will see a confirmation on your phone.

Nothing needs doing before you arrive.

If the deal needs a booking first — a haircut, a class, a treatment — the merchant will have said so on the Instructions button on the QR screen.

The merchant cannot scan my QR code Customer

Try these in order.

Turn your screen brightness up and hold the phone still about 15 to 20 centimetres from their camera. Most failures are brightness or focus.

If their camera will not start at all, that is their device, not your code. Ask them to try the other scanner on their end.

If it still will not scan, the merchant can redeem you manually. Give them the email address on your BiiBuy account — that is what they search by, and it is the most reliable way for them to find you and redeem without scanning.

If none of that works, do not leave without your items. Email support@biibuy.com.au with the Purchase ID and the merchant name and we will fix it up.

The merchant says my bundle is invalid or does not exist Customer

Nine times out of ten this means you are at a different merchant from the one that sold the deal. Check the merchant name on your Wallet card — bundles only work at the business that issued them, even if it is the same chain or the same owner.

If you are definitely at the right merchant, close the app fully and reopen it, then open the bundle again. If it still fails, email support@biibuy.com.au with the Purchase ID and the merchant name.

The merchant says my items are already redeemed Customer

1. Check the Wallet card. If it shows all items used, they have been.
2. Tap View Redemption History to see when and where.

If that does not match what you expect, two things can cause it.

You refreshed the QR screen or reopened it from a notification. Your item choices can be lost, and the merchant's system then picks the next unused items.

You have an Order Ahead in progress. Those items are set aside and cannot be scanned separately.

If the history still does not add up, email support@biibuy.com.au with the Purchase ID. Every redemption is logged, including anything a merchant reversed.

The merchant scanned the wrong thing, or scanned twice Customer

Ask them to undo it while you are still there. Merchants have an Undo button on their redemption history and it puts the items straight back into your Wallet.

There is no time limit on undoing, so it can still be fixed after you leave — ring the merchant. Your Wallet will update by itself when they do it, though you will not get a notification, so check the app rather than waiting to hear.

If the merchant cannot or will not fix it, email support@biibuy.com.au with the Purchase ID.

Do I need internet or phone signal to redeem? Customer

Yes, on both sides. Your phone needs a connection to load the QR code, and the merchant needs one to record the redemption.

If you are somewhere with poor signal, load your QR code before you go in — once it is on screen it will keep displaying. But the redemption itself will not complete until the merchant's device can reach the internet.

Can I redeem more than one item at once? Customer

Yes. On the redeem screen, select every item you want before you generate the QR code — the merchant scans once and all of them come off together.

This is the right way to do a round for the table. Do not have them scan the same code repeatedly.

It says not yet redeemable Customer

The merchant has set a start date on this deal, so you can buy it now but not use it until then. The date is shown on your Wallet card and on the QR screen.

Your items are safe until then — come back on or after that date.

It says the redemption window has closed Customer

This deal had a use-by date and it has now passed, so the items can no longer be redeemed.

The date would have been shown on your Wallet card as a Redeem by line. If you believe you still had time, or you were unable to get to the merchant for a reason worth hearing, email support@biibuy.com.au with your Purchase ID — we look at these case by case.

It says this bundle is unavailable or disabled Customer

This one is not something you or the merchant can fix at the counter — the deal has been disabled at the BiiBuy end, which we only do when something is genuinely wrong with a listing.

Email support@biibuy.com.au with your Purchase ID and we will sort out either a refund or a replacement.

Order Ahead

What is Order Ahead? Customer

On food and drink deals, you can place your order before you get to the merchant so it is being made while you travel.

Open the bundle, tap Redeem Item, choose what you want, then tap Order Ahead instead of showing the QR code. The merchant gets the order, accepts it, and you watch the progress on your phone. Walk in, pick it up, done — no scanning at the counter.

Order Ahead only appears on deals where the merchant has turned it on, and only on food and drink categories.

What do the order stages mean? Customer

There are four.

Ordered means the merchant has your order but has not looked at it yet.

Accepted means they have seen it and started. This is when you get an estimated ready time.

Ready means it is on the counter waiting for you.

Picked Up means the merchant has handed it over and the items have come off your bundle.

The estimate is a guide the merchant sets — normally around 5 minutes for drinks and 15 for food. It is not a guarantee, and it does not update if they fall behind.

Can I cancel an order? Customer

Only while it still says Ordered. Once the merchant accepts it they may have already started making it, so the Cancel button disappears and you will get a message saying the order has been accepted.

When you do cancel, your items go straight back into your Wallet.

If you need to cancel after it has been accepted, ring the merchant. They can cancel from their end at any point and your items are returned the same way.

The merchant has not accepted my order Customer

Orders that are not accepted within about 10 minutes cancel themselves automatically and your items go back into your Wallet. You will get a notification when that happens.

It usually means the merchant is slammed, or nobody is watching the tablet. If you are already there, just show your QR code at the counter instead once the order has cleared.

Nothing is lost either way — an expired order never takes your items.

Why can I not show my QR code while an order is in progress? Customer

Because those items are already set aside for the order. If you could also scan them at the counter you would end up spending the same items twice.

While an order is live the button on your Wallet card changes to View Order Status. As soon as the order is picked up, cancelled or expires, the QR code comes back by itself.

My order went backwards a step Customer

Merchants can undo a step if they marked it too early — for example tapping Ready by mistake and then correcting it. You will get an Order Update notification and the timeline moves back.

It is not a problem, it just means it is not quite ready yet. If it has been sitting a long time after that, ring the merchant.

Can I order ahead outside the merchant's redemption hours? Customer

No. If a deal is limited to certain days or times, the Order Ahead button is switched off outside that window and shows you when it opens.

The button becomes available on its own once the window starts — you do not need to reload the page. Note that it will not let you order in the few minutes just before opening, so if you are trying to time a lunch order you will need to wait until the window actually starts.

I picked up my order but got no confirmation Customer

That is expected — there is no notification when an order is completed, because you are standing there when it happens.

To confirm it went through, open the bundle in your Wallet and check the count has gone down, or tap View Redemption History.

Refunds & Problems

How do I get a refund? Customer

1. Ask the merchant first. Many will refund you on the spot and mark the items as used.
2. If that does not resolve it, email support@biibuy.com.au.

Include your Purchase ID, which is on the bundle card in your Wallet, what happened, and what the merchant said.

We look at the payment and the redemption history, hear both sides, and get back to you as soon as we can. If we find you are in the right, we refund you.

How long does a refund take to arrive? Customer

Once we process it, the money goes back to the card you paid with. Most banks take 5 to 10 business days to show it, and it appears as a refund against the original transaction rather than as a new payment.

We will send you a notification in the app the moment the refund is issued, so use that as your start date rather than when you first emailed us.

My bundle disappeared from my Wallet Customer

The most likely reason is that it was refunded. Refunded purchases are removed from the Wallet rather than moved to Used, so they vanish from both tabs.

Check your notifications for a Refund Processed message. If there is one, the money is on its way back to your card.

If there is no refund notification and the bundle is genuinely gone, email support@biibuy.com.au — include the merchant name, roughly when you bought it and the amount, and we will trace it. Nothing is ever actually deleted, so we can always find it.

The merchant refused to honour my bundle Customer

First, check the Wallet card for a redemption window — some deals are limited to particular days or hours, and staff will decline outside them.

If the deal is valid and they still refused, email support@biibuy.com.au with the merchant name, the date, the Purchase ID and what they said. Merchants agree to honour everything they sell on BiiBuy, and we follow these up directly with the business. You will not be left out of pocket.

The merchant closed down and I still have items Customer

Email support@biibuy.com.au with your Purchase ID. This is exactly what refunds are for and we will sort it out.

A closed merchant does not delete anything on your side — your purchase record and redemption history are intact, which is what lets us work out what you are owed.

I was charged twice Customer

Check your Wallet first. If there are two bundles there, two purchases genuinely went through and we can refund one — email support@biibuy.com.au with both Purchase IDs.

If there is only one bundle but two charges on your statement, one of them is almost certainly a pending authorisation that will drop off by itself within a few days. If it is still there after five business days, send us a screenshot of the statement showing both lines and we will chase it.

I got what I ordered but the merchant got the order wrong Customer

Sort it with the merchant directly — they can remake it, and if they need to they can undo the redemption so the item goes back into your Wallet.

BiiBuy handles payment problems and refunds. Quality and service are the merchant's to fix, and they are almost always happy to. If a merchant is repeatedly not delivering what they advertised, tell us at support@biibuy.com.au — that is useful for us to know.

Your Account

I cannot log in Customer

Work through these.

If it says your email is registered with Google or Apple, use that button rather than a password — accounts made that way do not have a BiiBuy password at all.

If it says please confirm your email address, the confirmation link from signup has not been clicked. Check spam for an email from noreply@notify.biibuy.app.

If it says incorrect email or password, use Forgot password.

If it says your account has been paused, email support@biibuy.com.au — we will tell you why and whether it can be lifted.

If it says too many attempts, wait a few minutes; that is a security limit and it clears on its own.

How do I reset my password? Customer

1. Tap Forgot password on the login screen.
2. Enter your email.
3. Tap the link we send you. It is valid for 24 hours.

If you signed up with Google or Apple there is no password to reset, and we will tell you rather than send an email.

Resetting your password signs you out on every device.

Can I add extra security to my account? Customer

Yes, if you signed up with an email and password. In the Account tab turn on two-factor authentication and we will email you a six-digit code each time you log in.

When you switch it on you get ten backup codes. Save them somewhere safe — each works once, they are the only way in if you lose access to your email, and we cannot show them to you again.

Google and Apple accounts do not need this and cannot turn it on, because those sign-ins already carry their own security.

How do I change my email address? Customer

1. Open the Account tab.
2. Open the email section.
3. Enter the new address and your current password.
4. Tap the confirmation link sent to your old address.
5. Tap the confirmation link sent to your new address.

The change takes effect once you have clicked both.

If you signed up with Google or Apple you cannot change your email here. It is tied to that account.

What emails will BiiBuy send me? Customer

Account ones — confirming your email at signup, resetting your password, confirming an email change, and login codes if you have two-factor turned on. They all come from noreply@notify.biibuy.app.

Everything about your purchases lives in the app. Your Wallet holds every bundle you have bought with its date, amount and Purchase ID, and the bell icon holds your notifications.

If you get an email claiming to be from BiiBuy asking for your password or card details, it is not from us. Forward it to support@biibuy.com.au.

How do I close my account? Customer

1. Open the Account tab.
2. Tap Close Account.
3. Type DELETE to confirm.
4. Tick the acknowledgement.

Use or refund anything left in your Wallet first. Unredeemed items become unusable when you close, and are not automatically refunded. Email support@biibuy.com.au for a refund before closing.

Closing signs you out and stops you logging in.

Your purchase and payment records are kept for seven years, as Australian financial rules require.

To reopen an account, email support@biibuy.com.au.

Can I sign up again with the same email after closing? Customer

Yes. Closing your account frees the email address, so you can create a fresh account with it whenever you like.

It will be a genuinely new account though — your old purchases, history and any unredeemed items do not carry over. Those records are retained on our side for compliance, but they are not linked to the new account.

What data does BiiBuy hold about me? Customer

Your name, email, mobile number and date of birth; your purchases, redemptions and ratings; and technical information like your device type and IP address. Card details are handled by Stripe and never touch our systems.

If you use the map or nearby deals, your location is read by your browser to sort what you see. Merchant addresses are geocoded on our servers; your own position is not stored.

We do not sell your information. For anything else, including a copy of what we hold, email support@biibuy.com.au.

Merchant: Getting Started

How does BiiBuy work for my business? Merchant

You create a bundle of items and sell it at a discount.

1. A customer buys the bundle up front.
2. They redeem it one item at a time by showing a QR code.
3. You scan the code to confirm each redemption.

Example: five coffees for $20 instead of $25. The customer pays $20 now and redeems one coffee per visit.

Cost is a monthly subscription plus 5% + 30c on each sale. There is no lock-in contract.

What does it cost to sell on BiiBuy? Merchant

Subscription: $50 per month, or $360 per year. The yearly price is 40% less than paying monthly.

Fee on each sale: 5% + 30c.

Example: on a $40 bundle the fee is $2.30. You receive $37.70.

Card processing is included in the fee. There is no separate Stripe charge, no setup fee, no fee per redemption, and no fee to create bundles.

How do I sign up as a merchant? Merchant

1. Go to the merchant signup page.
2. Enter your email, a password, your business name and your category.
3. Confirm your email address.
4. Set up payments with Stripe.
5. Wait for Stripe to verify your business.
6. Choose a subscription.

Your dashboard stays locked until steps 4, 5 and 6 are complete.

Merchant accounts use email and password only. You cannot sign in with Google or Apple.

Stripe verification usually completes in minutes. Allow one to two business days if Stripe requests documents.

What do I need to complete Stripe setup? Merchant

Stripe verifies every business before money can move. Have these ready:

Your ABN. An Australian business cannot be verified without one.
Business details: legal and trading name, business address, phone number, industry, and your website if you have one.
Bank account: BSB and account number, in the business's name.
Your own details: full name, date of birth, home address, job title, email and phone.
A government photo ID — driver licence or passport — and a selfie.

If your business is a company, Stripe also requires the same personal details for anyone who owns 25% or more and for the directors, and may request an ASIC Record of Registration or an ABN extract.

Stripe carries out this verification. BiiBuy never sees your ID documents.

I finished Stripe but my dashboard is still locked Merchant

1. Tap Check status on the screen blocking you. This asks Stripe directly and clears most cases immediately.
2. If it does not move, open Settings and check the Banking section. Anything outstanding is listed there.
3. If you have paid for a subscription and the screen still asks you to subscribe, tap Already paid, check status on that step.

Still locked — email support@biibuy.com.au with your business name.

How long until I can start selling? Merchant

If Stripe verifies you immediately, you can be live in under an hour. Your first bundle appears in the customer app as soon as you save it.

If Stripe requests documents, allow one to two business days.

How do customers find my business? Merchant

Discover feed — your deals appear alongside other local businesses.
Search — by your business name, your deal name, or an item inside a bundle.
Map — requires your address to be geocoded. Settings shows an amber banner if it is not.
Your printed store QR code — Settings, then Print Store QR Code.

Can I try it before committing? Merchant

There is no free trial.

The subscription is month to month with no lock-in. You can cancel any time from Settings.

How does the subscription work? Merchant

Monthly: $50.
Yearly: $360. That is 40% less than monthly, a saving of $240.

Billed by Stripe on the same date each period. Renews automatically.

Cancel any time from Settings. There is no contract and no exit fee.

To switch between monthly and yearly, cancel and re-subscribe on the other plan.

What happens if I cancel my subscription? Merchant

Your account goes into wind-down.

Billing runs to the end of the period you have paid for. The selling restrictions start the day you cancel, not at the end of the period.

Stops immediately:
New customer purchases
Creating bundles
Editing bundles
Your business appearing in Discover, search and the map

Keeps working:
Scanning and redeeming
Completing Order Ahead orders
Analytics, exports and settings

There are no refunds for the remainder of the period.

To undo a cancellation, email support@biibuy.com.au. You cannot reverse it from Settings.

My subscription payment failed Merchant

Your account moves to wind-down. You stop taking new sales. You can still redeem for existing customers.

Email support@biibuy.com.au to update your card.

The card that pays your BiiBuy subscription is separate from the account we pay your sales into. It cannot be changed from your payouts dashboard or from inside BiiBuy.

Your business stays hidden from customers until the payment is resolved.

I am in wind-down mode - what does that mean? Merchant

Your subscription has been cancelled, has lapsed, or a payment failed. Your dashboard shows a banner stating which.

You can:
Scan QR codes
Complete Order Ahead orders
See all your data

You cannot:
Take new sales
Create or edit bundles
Appear in Discover, search or the map

To come out of wind-down, email support@biibuy.com.au.

If any of your bundles were made inactive while you were in wind-down, switch them back on yourself.

Where are my subscription invoices? Merchant

Email support@biibuy.com.au and we will send them through.

Subscription invoices are not in your payouts dashboard. That dashboard shows the money customers pay you. The subscription you pay us is billed separately.

Do I get a discount as an early merchant? Merchant

We run offers on subscription fees for merchants joining early.

Email support@biibuy.com.au with your business name and location.

If you already have a promo code, enter it at checkout when you subscribe.

Merchant: Creating Bundles

How do I create a bundle? Merchant

1. Log in to your merchant dashboard.
2. Tap the menu icon, top right.
3. Tap Bundles.
4. Tap Create Bundle, top right.
5. Enter Bundle Name and Price ($). These are the only required fields.
6. Set Redemptions per Bundle — how many items the customer gets. Defaults to 1.
7. Switch Active Status on.
8. Tap Save.

Everything else has a default.

Tap Preview as customer card to check how it looks before you save.

Once a customer buys the bundle you cannot change its name, price or contents until every item sold has been redeemed.

How do I set the price and discount? Merchant

1. Enter the full price in Price ($) — what the items would normally cost.
2. Enter a figure in Discount Percentage (%).

BiiBuy calculates the sale price from those two. You cannot type the sale price directly.

Example: five coffees normally worth $25. Enter 25 and 20. Customers see $20.00 with $25.00 struck through and a 20% OFF badge.

On a $20 sale you receive $18.70 after the BiiBuy fee of 5% + 30c.

What is the difference between quantity available and redemptions per bundle? Merchant

Redemptions per Bundle — how many separate visits one purchase is worth. A five-coffee bundle is 5.

Quantity Available — your total stock, counted in individual redemptions, not in bundles.

Example: to sell 20 five-coffee bundles, enter 100 in Quantity Available. Entering 20 sells four bundles before the deal shows as sold out.

To not track stock, leave Unlimited Quantity switched on. That is the default.

Max Quantity per Order — the most one customer can buy in a single checkout. Defaults to 10.

How do customisations and combos work? Merchant

Three layers.

Item type — a thing in the bundle. Example: Coffee.
Group — one decision. Example: Milk.
Options — the choices. Example: Full Cream, Oat, Skim.

What the customer sees depends on how many groups the bundle has in total.

One group — plus and minus counters. Example: on a five-coffee bundle the customer allocates five picks across your milk options, such as three oat and two full cream.

Two or more groups — a separate card for each item, with a dropdown per group. Example: a burger group plus a drink group means each of the five combos is chosen individually.

Every group is compulsory. To let customers opt out, add an option called None.

Options can carry a surcharge, entered per item. The discount applies to surcharges. Example: a 50c surcharge on a 20% off deal adds 40c.

Limits: 5 item types per bundle, 5 groups per item type, 10 options per group.

How do I control when a deal can be bought and used? Merchant

Three separate controls.

Expires At — the last day someone can BUY the deal. It does not stop redemption. Anything already sold stays valid.

Redemption ends — when purchases can be USED. Set a start date, an end date, or both. Leave it off and customers can redeem at any time.

Days, From and Until — limits redemption to particular days and times each week. Uses your store timezone from Settings. The end time is a cut-off.

Example: a weekdays 11am to 2pm window stops accepting at 1:59pm.

If a bundle has no discount, any use-by date must be at least 3 years away. The form enforces this.

What image size should I use? Merchant

1200 by 675 pixels, 16:9 landscape.

A bundle will save with no images.

Can I write my own redemption instructions? Merchant

Yes. The field is in the Redemptions section.

Use it when your deal needs a step before the customer turns up. Example: booking a haircut, reserving a class, ringing ahead.

The editor supports headings, bold, lists and links.

The customer sees it behind an Instructions button on their QR screen. Leave it blank and they see the generic four steps.

This field can be changed at any time, including on a bundle that has already sold. It is the one exception to the editing lock.

How do I turn on Order Ahead? Merchant

1. Open the bundle.
2. Go to the Bundle Configuration section.
3. Switch Allow Order Ahead on.

It only works on Food and Drinks categories. The switch is greyed out on anything else.

If you change the bundle's category to one that does not support Order Ahead, the switch turns itself off. Check it again after any category change.

Quote times are set on the Scanner tab. They default to 5 minutes for drinks and 15 minutes for food.

Is there anything I cannot sell on BiiBuy? Merchant

Alcohol, tobacco, vapes and anything else age restricted cannot be sold on BiiBuy. There is no age check at redemption.

Everything else you sell over the counter is fine. Food, drinks, beauty, fitness, supplements and services all have categories.

If you are unsure whether something fits, email support@biibuy.com.au before you build the bundle.

What is a Hero Deal? Merchant

It pins a deal to the top of your own storefront page, in a Featured section above everything else.

You can have two at a time.

It affects your storefront only. It does not change your position in the Discover feed.

What categories can I use? Merchant

Seven categories: Food and Drinks, Drinks, Food, Beauty, Fitness, Supplements, Services.

Food and Drinks, Drinks, and Food support Order Ahead. The other four do not.

Customers see Food, Drinks and Food and Drinks grouped under one filter chip.

This is separate from the business category you chose at signup, which describes your business rather than an individual deal.

How many bundles should I create? Merchant

You can create as many bundles as you like. There is no limit.

Why can I not edit my bundle? Merchant

A bundle locks once it has sold.

You can still change:

To unlock it, switch Active Status off and wait until every item sold has been redeemed. The bundle unlocks when the outstanding count reaches zero.

My bundle would not save Merchant

You changed a field that locks once the bundle has sold. See the previous question for what stays editable.

You shortened a date rather than extended it. On a bundle that has already sold, dates can only move in the customer's favour — later expiry, earlier start.

You are in wind-down. Your subscription has lapsed or is cancelling, which limits edits further.

If none of those apply, email support@biibuy.com.au with the bundle name and what you were trying to change.

How do I stop selling a bundle? Merchant

1. Open the bundle.
2. Switch Active Status off.

Or tap Make Inactive on the bundle list.

It disappears from Discover, search, the map and your storefront, and nobody can buy it again.

Customers who already bought it keep their items, and your scanner still redeems them. Their wallet shows the deal as No Longer Available.

I need to change the price of a bundle that is already selling Merchant

Price locks once a bundle has sold.

1. Make the current bundle inactive so nobody buys at the old price.
2. Create a new bundle at the new price.

Existing customers continue redeeming the old bundle. New customers buy the new one.

Copy the details across from the old bundle to save retyping.

My bundle is active but customers say they cannot see it Merchant

1. Check your subscription is active. If it has lapsed or you have cancelled, your whole storefront is hidden from Discover even though your dashboard still works.
2. Check your address has geocoded. Settings shows an amber banner if it has not. Without it you do not appear on the map and your deals show no distance badges.
3. Check the deal is not past its Expires At date. It disappears from the feed on that date.
4. Check it is not sold out. A limited-stock bundle with nothing left still shows, with a disabled Sold Out button. Stock is counted in individual redemptions, not bundles.

BiiBuy can also disable a listing. If none of the above apply, email support@biibuy.com.au with the bundle name.

Can I delete a bundle? Merchant

Bundles with purchase history cannot be deleted. Once someone has bought your bundle, you can only make it inactive.

A bundle with no sales, no redemptions and no orders can be deleted outright.

Making a bundle inactive removes it from the feed and it can no longer be purchased. Existing customers can continue to redeem their remaining items.

Can I extend a deal that is about to expire? Merchant

Yes. Extending is allowed at any time, including on a bundle that has sold.

1. Open the bundle.
2. Go to Scheduling.
3. Push the date out.

Shortening is blocked on a bundle with sales. The form will let you pick an earlier date and then fail on save with a generic error.

Can I change the days or hours a bundle can be redeemed after it has sold? Merchant

Yes, including narrowing it. This is the one scheduling control you can tighten after sales.

If you narrow it, you get a confirmation asking you to acknowledge that customers who already bought will have less time to use it.

Merchant: Scanning & Redeeming

How do I redeem a customer's bundle? Merchant

1. Open the Scanner tab.
2. Tap Scan.
3. Point your camera at the QR code on the customer's phone.
4. Check the confirmation panel — customer name, bundle, and which items are being redeemed.
5. Tap Confirm Redeem.

The new balance appears, for example 5 of 10 becoming 4 of 10. Tap Scan Another Code for the next customer.

The items shown come from BiiBuy's records, not from the customer's phone.

What can I scan with? Merchant

The camera on your phone or tablet, from the browser. Allow camera access the first time.

A USB or Bluetooth barcode scanner. It types the code and the app picks it up automatically. It must be a 2D scanner that can read QR codes — a laser barcode scanner will not work — and it must be set to send Enter after each scan.

The BiiBuy phone app, when it launches.

A hardware scanner is ignored while your cursor is in a text box, and while a result panel is on screen. Click away from the search box and dismiss the last result before scanning the next customer.

My camera will not start Merchant

The message tells you which problem it is.

Camera permission denied — your browser is blocking it. Tap the padlock in the address bar, allow Camera, then reload.

Camera is already in use — another app or tab has it. Close the other app or tab and try again.

No camera found — the browser cannot see one. Try a different browser, or use a USB scanner.

Camera viewer failed to load — refresh the page.

If the camera opens facing the wrong way, close and reopen the scanner. It can fall back to the front camera.

Use Manual Redeem while you resolve the camera.

The scan fails - what do the errors mean? Merchant

Invalid Bundle — the code was issued by a different business. Bundles only work in the store that sold them. Try once more in case the code was simply unreadable.

Wrong QR Code — same as Invalid Bundle. Another merchant's deal.

Already Used — every item on that bundle has been redeemed. Check your Redemptions history. If you undid one earlier, ask the customer to reopen the code and try again.

Not Yet Available — the deal has a start date that has not arrived.

Redemption Window Closed — the use-by date has passed.

Item Reserved — the customer has an Order Ahead in progress. Complete it from the Orders tab instead of scanning.

Bundle is disabled — BiiBuy has disabled that listing. Send the customer to support@biibuy.com.au.

Certain days or certain hours — the deal only redeems inside a window the merchant set. Check the bundle's scheduling.

Can I redeem several items at once? Merchant

Yes. The customer selects everything they want on their phone before showing the code. You scan once and all of it comes off together.

If they selected only one item and want more, ask them to go back and reselect. Scanning the same code again does not add items.

Where do I see what I have redeemed? Merchant

Scanner tab, Redemptions section. Each entry shows the customer, the time, the bundle and which items came off.

Filter by time — last 30 minutes through to All Time.
Search by customer name, bundle or ID.

Search only looks at the page you are on, not your whole history. Narrow the time filter first, then search.

Do I need internet to scan? Merchant

Yes. Redemptions are recorded live, so the scanning device needs a connection.

There is no offline queue. A redemption that cannot reach BiiBuy is not recorded.

Is there a limit on how fast I can scan? Merchant

There is a cap, but not one you reach in normal service.

Capacity is shared per login, not per device. Several tills signed into the same account share the same allowance.

Merchant: Manual Redemption & Undo

The customer has no phone or a flat battery - how do I redeem? Merchant

Use Manual Redeem.

From the Customers tab:

1. Search for the customer by name or email.
2. Tap Bundles.
3. Pick the right bundle.
4. Tap Manual Redeem.

Or from the Bundles tab, open the deal, tap Customers, and find them in the list.

On a bundle with options, choose which items they are taking. On a plain bundle, enter a quantity and the system takes the next unused items.

If you cannot find them, ask for the email address on their BiiBuy account. Search matches email, name and phone.

How do I undo a redemption I made by mistake? Merchant

1. Open the Scanner tab.
2. Find the redemption in the Redemptions list.
3. Tap the undo icon on that entry.
4. Confirm twice.

The items return to the customer's wallet immediately and can be redeemed again. There is no time limit.

The customer is not notified. If they have already left, contact them so they know their items are back.

To undo several at once, use the customer's detail view. Do large numbers in smaller batches.

An undo did not go through Merchant

It has already been undone. Look for an Undo badge on the entry. If the badge is there, the undo worked.

You are trying to undo something that is itself an undo. That is not possible.

You are undoing more items than the customer originally bought.

You have undone a large number in quick succession. Wait a minute and continue.

Redemptions are paused on your account. A red banner on your dashboard explains why.

If none of those apply, email support@biibuy.com.au with the customer's name and roughly what time you scanned it.

My redemption count looks doubled after an undo Merchant

An undo is grouped with the original entry in the Redemptions list, and the count shows both. A single item scanned and then undone displays as 2, with the item listed twice.

The customer's balance is not affected. To confirm, check their remaining items in the Customers tab.

Can I undo an Order Ahead or a refund? Merchant

No to both.

A completed Order Ahead cannot be undone. To correct one completed in error, redeem or refund manually.

Refunds cannot be reversed. Once issued, the money has gone back to the customer and the purchase is closed.

While an order is still in progress you can step it backwards — Ready to Accepted, or Accepted to Ordered. It is fixed only after completion.

Merchant: Order Ahead

How do I handle Order Ahead orders? Merchant

Orders arrive in the Orders tab, next to Scan on the Scanner tab. The tab shows a live count.

Each order card has three buttons, in order:

1. Accept — you have seen it and are starting.
2. Ready — it is on the counter.
3. Complete — the customer has collected it. The items come off their bundle at this point.

Only the next step is tappable.

Elapsed time is colour coded: green while you are within time, orange when you are close to your quote, red when you are past it.

Orders that are not accepted within 10 minutes cancel themselves.

What happens if I do not accept an order in time? Merchant

After 10 minutes an unaccepted order cancels itself.

The customer's items return to their wallet and they get a notification saying it expired because it was not accepted in time.

To stop orders arriving when you cannot monitor the Orders tab, switch Allow Order Ahead off on your bundles.

A customer with an order is at the counter but their QR will not scan Merchant

While an order is in progress, those items are set aside for it and cannot also be scanned.

Complete the order from the Orders tab. That is what hands the items over.

If you scan the code anyway, the confirmation panel warns you the customer has an active order and directs you to the Orders tab.

How is the estimated ready time set? Merchant

From your quote times, set on the Scanner tab. Drinks default to 5 minutes, food to 15. Change either with the quick presets or a custom number.

The clock starts when you accept the order, not when the customer places it.

It does not adjust if you fall behind.

I marked an order ready too early Merchant

Tap the undo icon on the card. It steps back from Ready to Accepted, or from Accepted to Ordered. The customer gets an Order Update notification.

Stepping back to Ordered restarts the 10-minute expiry clock from when the order was originally placed. If the order is already older than that, it expires on the next check. If you have stepped back too far, accept it again straight away.

There is a cap of 20 status changes on one order. After that, cancel and start over.

Can I cancel a customer's order? Merchant

Yes, at any point before it is completed.

1. Tap the three dots on the card.
2. Confirm.

The customer's items return to their wallet and they get a notification.

The customer can cancel their own order only while it still says Ordered. Once you accept it, only you can cancel it.

Where do I see completed orders? Merchant

Switch to the Completed tab within Orders. It holds everything finished, cancelled or expired.

Completed orders also appear in your Redemptions history, tagged Order Ahead.

Merchant: Refunds

How do I refund a customer? Merchant

To refund on the spot:

1. Give the customer their money back however you normally would.
2. Find their bundle in the Customers tab.
3. Tap Manual Redeem to mark the items as used.

That closes the items off so they cannot be redeemed again.

An in-person refund does not touch the original card payment, so the BiiBuy fee on that sale is not returned. To have the original payment reversed and the fee returned, email support@biibuy.com.au with the Purchase ID instead.

If you and the customer cannot agree, send them to support@biibuy.com.au or email us on their behalf with the Purchase ID and what happened.

Undo Redemption is a different tool. It puts items back into a customer's wallet, for when you scanned something in error and no money changed hands.

How much does a refund cost me? Merchant

You are debited what you received for the sale.

When BiiBuy processes a refund, the amount comes out of your Stripe balance and the BiiBuy fee on that sale — 5% + 30c — is returned to you at the same time.

Partial refunds are proportional.

Example: a customer used two items out of five and we refund the rest. You are debited for the three unused items only.

If our investigation finds the problem was not your doing, BiiBuy covers the refund and you keep the sale.

If you refund the customer in person and mark their items as used instead, the original payment is never reversed. You keep the payout you already received, and the fee on that sale is not returned.

Can I just give the customer cash instead? Merchant

Yes. BiiBuy cannot record a cash refund, so nothing changes automatically.

Unless you act, two things stay true:

The sale still counts as full revenue in your analytics, and you have still paid the BiiBuy fee on it.
The customer still holds their unredeemed items and can redeem them later.

After refunding in cash, use Manual Redeem to clear the remaining items off their bundle.

If BiiBuy processes the refund instead, the fee is returned, your analytics update, and the customer's wallet is closed off automatically.

A customer wants a refund on a bundle they have already used Merchant

Send them to support@biibuy.com.au.

We refund what has not been used. If everything has been redeemed there is normally nothing to refund.

Exceptions are handled by hand, so include the detail and allow some time. We will tell you the outcome either way.

You can also resolve it directly with the customer.

What happens to a refunded bundle? Merchant

The customer's remaining items go to zero and the bundle disappears from their wallet. They cannot redeem anything further on it, even if the refund was partial.

On your side, the transaction stays in your Transactions tab with a Refunded badge and the revenue struck through. It is removed from your Sales Analytics figures.

Transactions and Sales Analytics will not match for any period containing a refund. Transactions is your complete financial record. Sales Analytics is your earned revenue.

A refund does not return stock to a limited-quantity bundle. Add one back manually.

Is there a time limit on refunds? Merchant

120 days from the purchase.

After that, the normal refund process cannot reach the original payment and it becomes a manual job at Stripe's end.

Merchant: Customers & Analytics

What do the numbers on my Sales Analytics tab mean? Merchant

Net Revenue — what you earned after BiiBuy fees, counted by the date customers bought. Follows the selected date range.

Paid to Bank — what Stripe deposited into your bank, counted by the date it arrived. Follows the selected date range.

These two will not match over a short period. One counts sales, the other counts deposits, and Stripe holds funds for about two days before paying out.

Example: a sale on 31 January is a February deposit.

Bundles Sold — counts orders, not items. One customer buying ten bundles counts as one.

Avg Order — average net revenue per order, after fees. On a $50 sale it shows about $47.

Items Unclaimed — lifetime total of everything customers have bought and not yet redeemed. Ignores the date range.

My revenue figures do not match my Transactions tab Merchant

They answer different questions and will not agree once you have had a refund.

Sales Analytics — earned revenue. Excludes refunded sales.
Transactions — your complete financial record. Keeps refunded sales listed with the revenue struck through, so it matches Stripe.

Use Transactions for your bank and your accountant. Use Sales Analytics to track performance.

The daily chart buckets by UTC, not your local time, so evening sales can land on the previous day.

How do I see who my customers are? Merchant

1. Open the Customers tab.
2. Tap Bundles on a row to see what that customer bought.
3. From there you can redeem manually or undo a redemption.

The list shows name, email, phone, number of purchases, total spent, and items still to redeem.

Customers whose purchases were all refunded drop off the list.

The items-left figure combines all of that customer's purchases of a bundle, labelled across 2 purchases.

I cannot see my customers or my redemptions Merchant

1. Check you have had a sale. Both lists are empty until someone buys.
2. Check your date filter. The Redemptions list defaults to a recent window. Set it to All Time.
3. Clear any search. The redemption search only looks at the page you are on, so a customer further back is not found.
4. Refresh the page. A temporary error can leave a list blank.

Top Bundles is showing different numbers to my date range Merchant

The Top Performing Bundles table is lifetime and ignores the date filter.

Selecting This Week changes the five cards above it, not the table.

For per-period figures per bundle, export your data and filter it in a spreadsheet.

How do I export my data? Merchant

1. Open Sales Analytics.
2. Tap Export Data.
3. Choose the current period or all time.

You get CSV files for transactions, redemptions, bundles, customers and order-ahead orders.

The transactions file is the one for your accountant — it has the price paid, the BiiBuy fee, your revenue and the refund status on every line.

Each file caps at 50,000 rows, keeping the most recent. If you are high volume, export in smaller date ranges — you are not warned when a file is truncated.

What is the conversion funnel? Merchant

It shows, per bundle:

Views — how many people saw it.
Considered — how many opened the details.
Purchased — how many bought.
Repeat — how many came back and bought again.

Anonymous visitors are included. Views from people who have never signed up count.

Merchant: Getting Paid

When do I get paid? Merchant

Money moves in two hops.

1. A customer buys. The payment goes into your Stripe account almost immediately, minus the BiiBuy fee.
2. Stripe holds it for about two days, then pays out to your bank automatically, daily.

A sale on Monday typically reaches your bank on Wednesday or Thursday, allowing for banking days.

Your first payout takes longer. Stripe holds new accounts while they finish verifying you.

You are paid when the customer buys, not when they redeem.

I cannot transfer money from Stripe to my bank account Merchant

Work through these in order.

1. Open Settings and check the Banking section. If it says setup is incomplete, finish those steps. Nothing pays out until Stripe has verified you.
2. Open your Stripe dashboard from Settings and look for a yellow or red banner at the top. Stripe often needs one more document — ID, a bank statement, proof of address — and holds every payout until you provide it. BiiBuy cannot clear this for you.
3. Check a bank account is attached in Stripe, and that the BSB and account number are correct. A closed or mistyped account fails silently.
4. Check your payout schedule in Stripe. If it is set to manual, payouts sit in your balance until you release them yourself. Accounts are set to automatic daily payouts at signup.
5. If your Stripe balance is zero but BiiBuy shows revenue, see the next question.

BiiBuy shows revenue but my Stripe balance is empty Merchant

Sales were taken before your Stripe account was fully approved. BiiBuy accepts the payment and holds the money on your behalf rather than failing the sale.

This usually happens when customers buy during the gap between listing your first bundle and Stripe finishing verification. It can also happen if Stripe temporarily suspends charges on your account.

To confirm:

1. Export your data from the Sales Analytics tab.
2. Open the transactions file.
3. Check the Payout Mode column. Anything marked Platform Hold is money BiiBuy is holding.

Email support@biibuy.com.au with your business name. Once Stripe has verified you, we transfer the held amount across. This is a manual step, so you need to ask.

I got a payout failed notification Merchant

Stripe tried to deposit money into your bank and the bank rejected it. Usual causes: a closed account, a typo in the BSB or account number, or a verification hold.

1. Open your Stripe dashboard from Settings.
2. Check the bank details on file.
3. Correct them.

The money stays in your Stripe balance and goes out on the next payout run once the details are valid.

The alert on your Sales Analytics tab clears once a payout succeeds.

How do I open my Stripe dashboard? Merchant

1. Open Settings.
2. Tap Banking and Payouts.
3. Tap Manage Banking Details.
4. Re-enter your BiiBuy password.

Every time you open it, BiiBuy sends you a notification with the IP address. That is a record of your own click.

If your browser blocks the popup you get a dialog with the link to copy. Use it straight away — the link is single use and expires quickly.

Too many wrong passwords in a row locks the button for a short while.

What happens to money for bundles customers never redeem? Merchant

You keep it. Payment happens at purchase, so an unredeemed item is money already in your account.

The customer can still redeem it. Unless the bundle has a redemption deadline, there is no time limit.

The Items Unclaimed figure on your Sales Analytics tab is your running total of items customers have bought and not yet redeemed.

Can I change how often Stripe pays me? Merchant

Yes.

1. Open your Stripe dashboard from Settings.
2. Change the payout schedule — daily, weekly, monthly or manual.

New accounts are set to daily with the standard two-day settlement.

On manual, money sits in your Stripe balance until you release it yourself. BiiBuy does not notify you that it is sitting there.

Why does my Items Unclaimed number never go down? Merchant

It is a lifetime total, not a figure for the selected period. Changing the date range does not affect it.

It falls when a customer redeems an item, or when a purchase is refunded.

It does not fall when a deal expires. Items on an expired deal still count.

I am not getting notified about new sales or orders Merchant

Notifications appear on the bell icon at the top right of your dashboard. Every new sale and every new order lands there.

Order Ahead orders time out after 10 minutes if nobody accepts them. Keep a tablet or phone on the Orders tab during service. The tab label shows a live count of waiting orders.

On mobile, push notifications require BiiBuy to be added to your home screen.

My dashboard will not load or keeps signing me out Merchant

Try a hard refresh first — Ctrl+Shift+R on Windows, Cmd+Shift+R on a Mac. This clears an update that landed while your tab was open.

Repeated sign-outs mean the account password was changed, or two-factor was turned on. Both sign out every device. Log back in.

A full-page message saying your account is paused or closed comes from BiiBuy, and carries a date and a reason. Email support@biibuy.com.au with your business name.

My business is not showing on the map Merchant

Your address has not been matched to a location.

1. Open Settings.
2. Find the amber banner about the address.
3. Tap Re-geocode.

If that fails:

1. Edit the address.
2. Pick one of the suggestions from the dropdown rather than typing it freehand.

The suggestions carry proper coordinates. Australian unit and apartment numbers often do not autocomplete, so enter the street address from a suggestion and add the unit separately.

Without a matched address you do not appear on the map and your deals show no distance badges.

Can my staff have their own logins? Merchant

Not yet. There is one login per business.

Anyone with it can see your customer list and your revenue, and can open your Stripe details after re-entering the password.

Keep the dashboard signed in on the till device your staff use.

Scanning capacity is shared across the login, not per device. Several tills on one account share the same allowance.

Separate staff logins are on the roadmap. Email support@biibuy.com.au if you need them.

A customer says they bought something but I cannot find it Merchant

Search the Customers tab by their name or email. Or open the Transactions tab, which lists every purchase newest first.

Merchant search matches name, email and phone. It does not match the Purchase ID.

If you cannot find them, check they bought from you and not another merchant.

Still nothing — email support@biibuy.com.au with the customer's name and the Purchase ID from their wallet card. BiiBuy support can look up a Purchase ID.

A customer is disputing something with me Merchant

Open the customer from the Customers tab. You can see every purchase, every redemption with a timestamp, and anything that was undone.

That covers whether they redeemed, when, and what they took.

How do I update my business details? Merchant

Settings holds your business name, description, address, store timezone, and your website, Instagram and TikTok links.

Logo — square, 512 by 512
Hero banner — 1920 by 1080

Set your store timezone correctly. It controls any day or time restrictions on your bundles.

Tap Preview as Customer to check how it looks before you leave the page.

How do I change my password or email? Merchant

Both are in Settings, under Personal Information.

Password — you need your current one. Changing it signs you out on every device, including the one you are using.

Email — a confirmation goes to both the old and the new address, and you must click the link in both. Your Stripe receipts follow the new address once it is done.

Merchant accounts use email and password only. You cannot sign in with Google or Apple.

Should I turn on two-factor authentication? Merchant

Yes. Your account holds your customer list, your revenue and access to your Stripe banking details, which makes it worth protecting properly.

Turn it on in Settings. You get a six-digit code by email at each login, plus ten backup codes for when you cannot get to your email. Save those backup codes somewhere other than your inbox — each works once and we cannot reissue them.

Enabling it signs out every device, so do it outside trading hours.

How do I print a QR code for my counter? Merchant

1. Open Settings.
2. Tap Print Store QR Code.
3. Print it directly, or download a high-resolution image for your own poster or menu.

Anyone who scans it lands on your BiiBuy storefront, whether or not they already have an account.

The code only works while your subscription is active. If you cancel, it leads to a not-found page.

How do I close my merchant account? Merchant

Email support@biibuy.com.au. There is no self-service close on the web dashboard.

Before you do:

1. Cancel your subscription. This puts you in wind-down — you stop selling but can still scan.
2. Wait until customers have redeemed the items they already bought.
3. Email us to close the account.

We cancel your subscription and disconnect your Stripe account. Your sales and payout records are retained for financial and tax compliance.

If you have unredeemed customer items and want to close immediately, tell us — they will need refunding.

My account has been paused - what does that mean? Merchant

We have paused it, and the message on screen shows the date and the reason if one was recorded.

A pause is reversible. Your account, your bundles and your customer history are all intact and nothing is deleted.

Sometimes we pause only part of an account — new purchases but not redemptions, for example — in which case you keep your dashboard and see a red banner explaining which part is affected.

Is my payment information safe? Everyone

Yes. Card payments are handled entirely by Stripe, one of the largest payment processors in the world. Your card number never reaches BiiBuy's systems and we cannot see it.

The same applies on the merchant side — payouts go through Stripe's own verified banking, not through us.

You can add two-factor authentication to your BiiBuy account from your account settings, which we would recommend if you use the platform regularly.

Where are the terms and privacy policy? Everyone

They are one document, Terms of Service and Privacy Policy together. The privacy policy is section 9.
